Creating and managing Reservations
Learn here how to reserve a Resource in Roomzilla.
There are five ways of adding reservations in Roomzilla:
- “Schedule” tab of the full web application – explained in the below article
- “Maps” tab of the full web application
- mobile version
- Room Display
- QR code
Create your reservation on the timeline
1. To add a reservation, head to the “Schedule” tab [1], then on the selected Resource’s timeline, find the time you want your booking to start. You can use our filtering tool [2] to display only suitable Resources at the desired date and time.
2. Click or click and drag for a reservation form to show up:
A – The reservation title defines the purpose or what this meeting will be about. This is the first thing people will see when a reservation is selected, and that will be shown on the Room Display.
B – The day when you want your reservation to start.
C – The time when you want your reservation to start.
D – The time when you want your reservation to end. Possible options may be limited due to the organization’s settings.
E – The day when your reservation ends. This option may not always be available due to the organization’s settings.
F – If you want your reservation to be recurring, check the “Repeat” box to reveal possible occurrence patterns. This option may not always be available due to your organization’s settings. Check out our article on repeating reservations for more information.
G – Confirm and create your reservation.
3. Done! Your reservation will appear on the schedule in color when other users’ reservations are grey. Hover the mouse over a reservation tile [H] to see its title, host, and time.
View and manage your bookings
You can view a list of your future reservations, located near the “Guidelines” button on the right-hand side of the timeline. Click on “Your Reservations” [I] to collapse the list for better timeline visibility.
Clicking anywhere on the reservation tile in the list will take you to the corresponding location of that reservation on the timeline.
Click on the free dots [J] to reveal possible actions:
- edit/remove
- add to calendar – you can add bookings as events to your personal (Google or Outlook) calendar; see this article for more details. Please note that Roomzilla doesn’t update your private calendar events. Editing your Roomzilla reservation after it was exported to your calendar won’t make changes to your calendar event.
