Room Displays explained

Room Displays are a great complement to the Roomzilla web room booking system, which allows you to:

  • check in to your meeting, if required
  • make spontaneous reservations whenever you need one, directly at the Room
  • view ongoing and upcoming events
  • extend the time of the meeting with one finger tap
  • end the meeting earlier and free up space for others

The transparent design of the screens mirrors the colors of the traffic lights so that you can see at a glance which Rooms are busy and which are available:

 

 

 

A green screen means that this Room is currently available.

Tap the “Use Now” button [1] to start a “Local Reservation” right away.

See upcoming” section [2] to see events scheduled for the day and slots available.

 

 

 

 

 

 

Depending on the setup chosen by your administrators, you may also encounter the QR code [A], visible either solely on the green “available” screen or on all tablet screens. This code enables you to display a resource screen on your mobile phone. Upon scanning, the options mirror those available when scanning a QR for any other resource. This includes the ability to initiate an impromptu reservation, perform contactless check-in to your meeting, conclude it earlier, or access the mobile version of Roomzilla.

Due to the organization’s settings, you may also encounter a situation when the “Use Now” button is not available, and a message is displayed instead [B] – this means your organization doesn’t allow for Local Reservations from the tablet. However, if you see the QR displayed [A], you will be able to use your phone to start one!

 


A yellow screen means there is a scheduled booking waiting for check-in. If there is no prior meeting scheduled in the room, the yellow check-in screen will appear 5 minutes before the start of the next reservation. If you arrive early and tap the “Check In” button [3], your reservation will start right away.

If you are on time or even late, you will still be able to check in within the time set in your organization [4]. If check-in is required and the reservation has already started, after a few minutes, you will hear a sound notification reminding you to check-in. Otherwise, the reservation will be automatically terminated.

 

 

 

 

 

 

 

 

 

 

 


 

 

A red screen means that there is an ongoing meeting.

Finished earlier? Tap the “End Now” button [5] on the exit, so others can use the space. A dialog window will appear, giving you 30 seconds to cancel your request.

If the meeting is prolonged and you need more time – tap the button [6] to add some to your meeting. Reservation can be extended (+15min with each click) until the time limit is reached or next event is scheduled.

 

 

 

 


In addition to the above, two more screens can be shown:

 

 

 

A grey screen means the device has lost Internet connection. Once the connection is restored, Room Display will refresh automatically.

 

 

 

 

 

 

 

A blue screen means this Room is not currently available for bookings due to the organization’s settings.

 

 

 

 

 


Sound notifications

If this option is enabled in your Organization, you will be notified with a gentle sound when you should check-in, or your meeting is coming to an end.
